Creating indexes

Create a New Index

To start creating a new index you should press the button _bm20. A window will appear in which you will pass several stages to successfully create a file.

You should first choose a name for the new index and enter it into the first line of the emerging window. Next you should determine the location of the index file, i.e. the place where this file will be recorded (don't mix this address with the address of the documents to be indexed).
Besides, user can enter personal comments to the created index. This is a highly recommended option, as the more indexes you accumulate, the longer it can take to find the appropriate index. Press
Next to go to the next stage of creating an Index.

Here you should select the data sources which you need to index. The first checked box means that SearchInform will index all files on your local disks and optionally network disks, that you have right to access. At default, the indexing area is all the accessible disks. To set a more specific indexing area and the type of files to be indexed, press
"Configure".

In the emerging window on the left there is a tree-structure of your file system. With the help of it you can check the catalogues to be indexed and included into the newly created index. In this case the checked box opposite a disk or a catalogue will mean, that it is subject to indexing. Square marks are set automatically when not all of the subcatalogues of the current catalogue are included into indexation. To check or uncheck all of the boxes in the current branch, use the buttons "
Unselect all" and "Select all" correspondingly.
On the right there is a menu to select the type of files to be indexed by the application. The procedure is same as with selecting the catalogues.
Pressing
OK closes the catalogue selection window, bringing you back to the data sources.

If you use
MS Outlook mail service, the application will recognize it at once and will make the option "Your mails and contacts from MS Outlook" accessible. Activating it will allow the SearchInform to index all your emails data base. Obviously, effective search through the email letters can be highly benefitial. Taking into consideration the ever-increasing volume of spam, the information to be searched through can be so huge, that SearchInform will be of best service to you guarding you against wasting your time on unnecessary drudge of looking through irrelevant documents.

Checking the "
Additional complex data sources" box allows you to add some external sources to the index area, such as the SQL related data bases (for example, MS Access, Oracle, MS SQL Server etc.). This opportunity will undoubtedly be utilized by those users who work with data bases, as well as in big companies, that store data in various data base systems. Checking the "
Use stemming in index" box allows to enable the function of stemming analysis in the created index (read more on this function in the "What you need for a high-quality search?" paragraph. Besides this checkbox there is a drop-down list of all the currently available morphology data bases in the application. If you decide to use the stemming function (highly recommendable), you should decide on the language of your morphology at once. However, this option can be configured after creating the index.

Having set all the necessary parameters you can press the "Create" button. Immediately a new window will emerge, and if the "Automatically start indexing data" box was checked in the previous one, then the indexing will start at once. If this box was unchecked, to start indexing press the _bm24 button. You should take into consideration that indexing can take a lot of time, especially with large data volumes.

Ms access full text search. As you know some times attributes filed search don't give us satisfied results. For example we don't know which fields we need to use for search, in that case there is only one way - ms access full text search. But ms access standard bundling has no ms access full text search ability. SearchInform allows you to expand ability of ms access by adding ms access full text search ability.
